Board Position Descriptions
Voting Board Positions: The following Board Positions have voting rights at all Board meetings: President, Vice President, Operations Manager, Fundraising Coordinator, Secretary, Coach Coordinator, Treasurer, Registrar, and Computer Operations Manager.
President
The President acts as a general manager of the Team and is ultimately responsible for all of its activities. Specific President duties include:

Chairs all Board and parent meetings (e.g., orientation)

Ensures all practice and meet facilities are scheduled and available for team usage

Acts as primary point of contact for the City of Folsom and Vista Del Lago High School
-
Helps to address concerns raised by parents, coaches and swimmers

Performs other duties as required by the Team and Board
Vice President
The Vice President serves as aid to the President and performs the duties of the President in the President’s absence or inability to serve. Specific Vice President duties include:

Chairs Board and Parent meetings in President’s absence

Updates Team’s Handbook and Board Position Descriptions

Handles all Team to Parent communications via Team website and e-mail account
-
Helps to address concerns raised by parents, coaches and swimmers

Performs other duties as required by the Team and Board
Operations Manager
The Operations Manager is responsible for swim meet operations and equipment. Specific Operations Manager duties include:

Oversees set-up, tear-down and storage of all team equipment for all home dual swim meets
-
Ensures all Team equipment is properly maintained, functional and available for all Team functions
-
Coordinates with other Board members to ensure Team functions are properly resourced
-
Performs other duties as required by the Team and Board
Fundraising Coordinator
The Fundraising Coordinator is responsible for Team fundraising and business sponsorships. Specific Fundraising Coordinator duties include:

Works with Events Coordinator on the communication, planning and execution of Team fundraising events (Swim-A-Thon, Carb Night, Raffle, Invitational fundraiser, etc.)

Creates and maintains Team relationships with businesses and vendors donating funds to the Team
-
Performs other duties as required by the Team and Board
Secretary
The Secretary performs administrative duties for the Team. Specific Secretary duties include:

Prepares and distributes Board Meeting Agendas
-
Plans and communicates all Board Meeting logistics (day, time, place, equipment, etc.)
-
Records, distributes Board Meeting Minutes
-
Follows up on Board Meeting action items prior to due dates
-
Performs other duties as required by the Team and Board
Coach Coordinator
The Coach Coordinator hires and manages the Team’s coaching staff. This position is the conduit from the team employees to the Board and also to the swim team parents and swimmers. This position participates in season goal setting and workout planning activities with the coaching staff. Specific Coach Coordinator duties include:

Represents the coaching staff in answering parent/swimmer questions on behalf of the coaches during practices and swim meets (so that coaches can focus on swimming activities)

Works with coaches to create practice schedule

Performs other duties as required by the Team and Board
Volunteer Coordinator
The Volunteer Coordinator is responsible to ensure that every swim meet has adequate parent volunteer coverage. Specific Volunteer Coordinator duties include:

Identifies volunteers for the “lead positions” (Head Timer, Ribbons, Starter, Announcer, Head Stroke & Turn, Meet Referee, Hospitality) which are preferably the same people for each meet.

Sets up volunteer jobs on the Team website and ensures all jobs are filled before the meet
-
Ensures that any scratched volunteers are replaced during swim meets
-
Performs other duties as required by the Team and Board
Treasurer
The Treasurer is responsible for the Team’s financial records and transactions, and has the ability to provide current financial statements and records at any time as may be required by the Board. Specific Treasurer duties include:

Works with Board to prepare the Team’s yearly budget for Board review/approval
-
Collects and deposits the Team’s revenue and fundraising monies
-
Maintains a detailed accounting of Team’s financial activity
-
Disburses payments and reimbursements for all Team expenses, fees, taxes and purchases
-
Manages all payroll, income tax returns and other government filings
-
Performs other duties as required by the Team and Board
Registrar
The Registrar is responsible for member sign-ups and ensuring that each swimmer is properly registered. Since registration and team-marketing are related, the Registrar also handles much of the Team’s marketing and recruitment-related tasks. Specific Registrar duties include:

Reviews and approves swimmer registrations
-
Works with Treasurer and Computer Ops Manager on registration processes
-
Ensures every swimmer has successfully completed the required League forms
-
Works with League Registrar to ensure all Team members are properly registered
-
Places ads in local publications to market the Team and provide registration details
-
Takes the lead on marketing activity including creating and distributing flyers, signs, banners
-
Performs other duties as required by the Team and Board
Computer Operations Manager
The Computer Ops Manager is responsible for the maintenance and operation of the Team’s computer systems and timing equipment in support of all Team swim meets. The Computer Ops team consists of multiple volunteers operating the timing, computer and printing equipment to run and score a meet. In general, the Computer Ops Manager and team must arrive early to a swim meet (for setup/pre-testing) and stay until the end of the meet (for final scoring, reporting and break-down). There are four main efforts of the Computer Ops team: TeamUnify Website, Colorado Timing Console (CTS), Meet Manager System, and Meet Support. Descriptions of each role are listed below. The Computer Ops Manager is the only Board member, while the roles below can be considered “lead positions” for volunteering.
TeamUnify Website: The Team manages all its functions and communications via the TeamUnify website. The Computer Ops Manager is responsible for the administration and maintenance of the TeamUnify site as it relates to site access/permissions, web content, reporting, module setup (Registration, etc.), and more.
CTS: The CTS is the unit that is connected to the touchpads and manual plungers. The CTS records all the times for all the heats and sends those results to the Meet Manager laptop computer via a USB/Serial cable. The CTS Operator is responsible for making sure the correct event/heat are ready on the screen, advancing the CTS to the next heat/race, recording any discrepancies between missed plunger times, etc., and working with the Meet Manager Operator on the accuracy of swimmer, heat, and time information during the meet. The CTS Operator position must be covered for the entire swim meet, and thus, backup resource(s) are essential.
Meet Manager Operator: The MM Operator is responsible for getting the times from the CTS, and the times from the manual timers via lane timer sheets in order to get to the most accurate time for each swimmer's events. The MM Operator runs the Hy-Tek Meet Manager software to achieve this effort. In addition, the MM Operator must prepare team/swimmer results reports for posting at the pool, ribbon label reports, and is responsible for all reporting and documentation of any swim records broken at each meet. The MM Operator position must be covered for the entire swim meet, and thus backup resource(s) are essential.
Meet Support: Help setup crew with touch pad installation, power cabling for Computer Ops equipment, printing/collating Meet Sheets and running them to the appropriate people and locations, checking plunger operations, helping to confirm which swimmers are in which lanes, which lanes are empty, and so on.
League Representative
The League Representative represents the Team to the League and vice-versa. The League Rep must remain available all year long for League communications, action items and decision points. Specific League Rep duties include:

Votes on important League decisions

Coordinates Team’s involvement in Conference Championships

Communicates important updates in a timely fashion to the appropriate Team resources
-
Attends NorCal Swim League Meetings year round
-
Attends Adopt-A-Facility Meetings year round
-
Assists with marketing activity related to creating and distributing flyers, signs, banners
-
Performs other duties as required by the Team and Board
Non-voting Board Positions
The following Board Positions do not have voting rights at Board meetings: Vendors/Concessions Coordinator, League Rep, Awards Coordinator, Events Coordinator, Ready Bench Coordinator, FAA Rep.
Vendors Coordinator
The Vendors Coordinator is responsible for the planning and coordination of the Team’s vendor and concessions offerings at all home dual meets and the Tigersharks Invitational. Specific Vendors Coordinator duties include:

Coordinates with vendors to sell food/beverages at all home meets
-
Ensures the following are offered at each meet: Coffee, breakfast, lunch, smoothies, snacks
-
Communicates which vendors and concession items will be offered at each meet
-
Coordinates the purchase and delivery of concession items
-
Performs other duties as required by the Team and Board
League Representative
The League Representative represents the Team to the League and vice-versa. Specific League Rep duties include:

Votes on important League decisions
-
Coordinates Team’s involvement in Conference Championships
-
Communicates important updates in a timely fashion to the appropriate Team resources
-
Performs other duties as required by the Team and Board
Awards Coordinator
The Awards Coordinator is responsible for ensuring that adequate ribbons and awards are ordered and delivered in time for use at all dual swim meets, Conference Championships meets, and the Tigersharks Invitational. This position is also responsible for selecting the end-of-year awards and special awards for swimmers and coaches. The Awards Coordinator is also responsible for coordinating the sorting of ribbons and awards by age group/name and the delivery of awards to the Awards Night event.
Events Coordinator
The Events Coordinator is responsible for planning Team events including Fundraising events, Coaches Appreciation Day, Carb Night and Awards Night. Responsibilities include selecting the event dates, securing suitable locations, preparing event announcements, planning for food, beverage and/or refreshments, and coordinating setup and clean-up activities.
Ready Bench Coordinator
The Ready Bench Coordinator is the lead for the Ready Bench, and is responsible for coordinating the Ready Bench at home dual meets for the home and visiting team.
Folsom Athletics Association Representative
This position is responsible for attending the monthly FAA meeting and City School District joint use meeting. At those meetings, the FAA Rep will report Team activities and undertake any necessary coordination regarding the use of the Vista Del Lago pool.
